The Complete Guide to Animal Intake Management for Rescue Networks
Intake is where everything starts — and where most operational problems in rescue networks originate. An animal that enters the system without complete records, a confirmed placement, or a clear ownership assignment is an animal that will create problems downstream.
The Network Intake Problem
Single-rescue intake is relatively straightforward: an animal arrives, you create a record, you assign it to a foster or kennel, you schedule a vet appointment. Network intake is more complex: an animal may be pulled from a municipal shelter by one partner org but need to be placed with a foster affiliated with a different partner org. Medical records from the originating shelter may arrive in inconsistent formats — or not at all.
Standardizing Intake Across Partner Organizations
The first step to network-level intake coordination is standardizing the data you collect. At minimum, a network-standardized intake record should include: animal ID (network-level), species, breed, age, sex, weight, intake source, intake date and receiving organization, vaccination and medical status, behavioral notes, assigned foster or placement, and network coordinator assigned. When every partner org uses the same intake template, animals can move through the network without records getting lost or reformatted.
Managing Intake Capacity Across the Network
Real-time capacity visibility means: intake coordinators can direct new pulls to orgs that have room; partner orgs at capacity can request network-wide foster support before hitting a crisis; and transport resources can be prioritized toward moving animals from full orgs to ones with available placements.
Medical Intake Protocols
Every animal entering the network should receive a baseline medical assessment at intake, and that record should be created in the network system. Track at intake: vaccination status and due dates, spay/neuter status, known medical conditions or injuries, flea/tick/heartworm prevention status, weight and general condition score, and veterinary appointments scheduled. Medical records attached to the animal's network profile travel with the animal through every transfer.
